What data we collect and why

We only collect personal data that we need to run this website and to provide our services. For each processing activity, this statement describes which data is involved, why we process it and on which legal basis under the GDPR. The legal bases we rely on are:

  • Consent (Art. 6(1)(a) GDPR). You have given us permission, for example via the cookie banner or a sign-up form. You can withdraw consent at any time.
  • Contract (Art. 6(1)(b) GDPR). Processing is necessary to deliver a service you have asked for.
  • Legal obligation (Art. 6(1)(c) GDPR). We are required by law to keep certain records, such as invoices for the tax authorities.
  • Legitimate interest (Art. 6(1)(f) GDPR). Processing is necessary for a legitimate purpose of ours, such as keeping this website secure and available, and your interests do not override it.

Website hosting

Our website is hosted by FourteenRockets on servers located in the Netherlands. When you visit our website, technical data such as your IP address is processed to deliver the website content to your browser.

Forms

We use Forminator to process form submissions on our website. When you submit a form, we collect and process the personal data you provide, such as your name, email address and message content.

  • Name
  • Email address
  • Message content
  • Any other information you choose to provide in the form
  • Date and time of submission
  • IP address (for spam protection)

Purpose: To respond to your enquiry and communicate with you about our services.

Legal basis: Your consent pursuant to Art. 6(1)(a) GDPR and our legitimate interest in responding to enquiries pursuant to Art. 6(1)(f) GDPR.

Storage period: We retain form submissions for [RETENTION PERIOD]. After this period, your data is securely deleted unless you request earlier deletion.

Cookies and consent

Cookies are small text files that a website stores on your device. Our website uses cookies that are necessary for the website to function, and, only with your consent, cookies for analytics and third-party content. Strictly necessary and functional cookies do not require prior consent under the GDPR and the Dutch Telecommunications Act. Analytics and marketing cookies are only set after you have given consent.

Necessary and functional cookies

The following cookies are necessary for the website to function or provide a function you have asked for, such as your language preference. They do not track you and do not require prior consent.

WordPress: WordPress sets a temporary test cookie (wordpress_test_cookie) to check whether your browser accepts cookies. It expires when you close your browser. Login and session cookies are only set for users who log in to the website.

Language preference (WPML): Our website is available in multiple languages. The WPML plugin sets a functional cookie (_icl_current_language) to remember your language choice, and a temporary cookie (wpml_browser_redirect_test) to check whether cookies are enabled. These cookies contain no personal data.

Caching (LiteSpeed Cache): We use LiteSpeed Cache to make the website load faster. It may set a functional cookie (_lscache_vary) so that the correct cached version of a page is served to you, for example when you are logged in.

Security (WP Defender): We use WP Defender to protect the website against attacks and unauthorised login attempts. It may set security-related cookies for logged-in users, for example for two-factor authentication.

Website analytics (WPMU DEV)

We use the built-in analytics feature of WPMU DEV to collect anonymised statistics about how visitors use our website. This helps us understand which pages are popular and how we can improve our website. It is a privacy-friendly alternative to large advertising-based analytics platforms: it does not build advertising profiles and does not share your data with ad networks.

Technology: WPMU DEV Analytics uses Matomo, a privacy-friendly analytics platform.

Data processed:

  • Pages visited and time spent on pages
  • Referring URL (where you came from)

  • Screen resolution
  • Country and region (based on an anonymised IP address)
  • Date and time of visit

What it does not collect: No full IP addresses, no names or email addresses, no advertising identifiers, and no tracking of your behaviour across other websites.

Cookies: WPMU DEV Analytics uses Matomo technology. The following cookies may be set:

  • _pk_id.[reference] identifies returning visitors (13 months)
  • _pk_ses.[reference] tracks page visits within a session (30 minutes)

The reference code in the cookie name identifies the specific website.

Data transfer: Data is processed by WPMU DEV on servers in the United States and Australia.

Legal basis: Your consent pursuant to Art. 6(1)(a) GDPR. Analytics cookies are only set after you have given consent via our cookie banner.

Purpose: Analysis of website usage to improve content and user experience.

Data sharing and processors

We do not sell your personal data and we do not share it with third parties for their own marketing purposes. We only share personal data with service providers who process it on our behalf, such as our hosting provider and the services named in this statement. With each of these processors we have a data processing agreement in place, as required by Art. 28 GDPR, which obliges them to protect your data and to use it only for our purposes.

We may also disclose personal data where we are legally required to do so, for example to comply with a court order.

Retention periods

We do not keep your personal data longer than necessary for the purpose it was collected for, or longer than the law requires. The main retention periods are:

  • Contact form submissions. 6 months.
  • Analytics data. 6 months.
  • Cookie consent records. Stored by the consent tool for as long as legally required to demonstrate consent.

After the applicable period, data is securely deleted or anonymised.

Data security

We take appropriate measures to protect your personal data, including an encrypted connection (SSL/TLS) for all pages of this website, security software, and access limited to those who need it. However, no method of electronic storage or transmission is completely secure. We review our security measures regularly to keep your data safe.

Your rights

Under the GDPR you have the following rights regarding your personal data:

  • Right of access. You can request a copy of the personal data we hold about you.
  • Right to rectification. You can ask us to correct inaccurate or incomplete data.
  • Right to erasure. In certain cases you can ask us to delete your personal data.
